Daily Close

The daily close checks the day's cash against its sales. It takes the day's daily sales, the credit sales counted in them, the card and EBT totals you enter, and the cash drawer, and tells you whether the drawer is over or short. Closing posts the card and EBT totals and the over or short to your books, so Undeposited Funds holds the cash and checks you will deposit.

Before the first close

  1. Card tenders: open Store > Card tenders. The c-store setup starts with Card terminal 1, EBT food, EBT cash and WIC; add a tender per card machine you have. For each, choose Moves to account: the asset account its total waits in until the processor deposits it, such as 1350 Card settlements. Check Enter the number of transactions for EBT food to keep its count.
  2. Over and short account: open Settings > Daily close and choose the account the over or short posts to, such as an expense named Cash Over/Short.

A tender without an account, or no over and short account, is shown and kept but not posted, as in the Windows app.

Close a day

  1. Open Store > Daily close. It shows yesterday; use the arrows or the date to change it.

  2. Check the Checklist: the daily sales, the drawer's opening count and its closing count should be done. Select a step to open its screen for that day.

  3. Enter the total of each card and EBT tender from the machines' end-of-day reports, and the number of transactions where asked.

  4. Select Recalculate to see the reconciliation:

  5. Select Close the day. The tenders with an account move out of Undeposited Funds into their accounts, and the over or short moves between Undeposited Funds and its account, in one journal entry.

Closing again (after correcting a total, the sales or the drawer) posts the day again in place of the previous close. A day in a closed period cannot be closed. A day without a closing count cannot be closed: count the drawer first.

When the processor deposits a day's card totals, categorize the bank deposit to the tender's account (Card settlements), so that account goes back to zero.
