Check Cashing

When the store cashes a customer's check, such as a payroll check, it pays out the amount less its fee from the register and keeps the check to deposit. Checks cashed keeps those checks; the daily close counts the cash they took from the register, and a deposit groups the checks you take to the bank, with a slip to print.

What you see depends on your role. If the menu, a button or a setting on this page is missing, ask your administrator to give you the permission listed above or to turn on the feature. Only administrators can turn features on and change site settings.

Add a check

  1. Open Store > Checks cashed.
  2. Under Add a check, enter the Date, the Amount of the check and the Fee you kept, and optionally the Check number, who it was Written by and a memo.
  3. Leave Paid from the register checked when the cash came out of the register drawer; clear it when it came from the safe, so the daily close does not count it.
  4. Select Save.

The list shows the Cash paid (amount − fee). Fees post to the income account chosen under Settings > Check cashing; with no account they stay on the checks only.

Deposit checks

  1. Select the checks you take to the bank (the ones To deposit).
  2. Choose the Deposit date and select Deposit selected.
  3. The slip opens: select Print and take it with the checks.

Store > Check deposits lists every deposit with its number (D-1001, ...) and total; select one to print its slip again. Delete a deposit made by mistake: its checks wait to be deposited again. When the deposit shows on your bank statement, categorize it to Undeposited Funds.

Returned checks and changes

  • Mark returned a check the bank returned unpaid; it no longer counts in the daily close. Recover the money from the customer and record the bank's charge-back in banking.
  • Edit changes a check that is still to deposit. Deposited and returned checks cannot change, and Delete selected keeps them.

A check loaded twice from check cashing software is refused the second time.
