Cash Drawer
The cash drawer keeps what happens to the cash in the register during a business day: the count it opens with, the change put in, the cash paid out or dropped in the safe, and the count it closes with. The difference between the closing count and what the drawer held before the day's sales is the cash taken in; the daily close compares it with the cash sales to find the over or short.
| Menu | Store > Cash drawer, Store > Drawer reasons, Store > Denominations |
| Permission | View the cash drawer; Enter the cash drawer (to enter it); the Drawer reason and Denomination content permissions (to change the lists) |
| Feature | Cash drawer |
What you see depends on your role. If the menu, a button or a setting on this page is missing, ask your administrator to give you the permission listed above or to turn on the feature. Only administrators can turn features on and change site settings.
Open the day
- Open Store > Cash drawer. It shows today's business day; use the arrows or the date to change it.
- Under Add an entry, choose Opening count.
- Enter the Amount, or open Count the cash and enter how many of each bill and coin: the amount is worked out as you type.
- Select Save.
During the day
Add an entry for each movement of cash, with a memo:
- Change from the safe puts money in;
- Paid out (a vendor paid in cash) and Safe drop take money out.
These can be entered as many times as needed.
Close the day
Enter the Closing count, counted like the opening. The cards at the top show:
| Card | What it is |
|---|---|
| Opening | The opening count |
| Put in, Taken out | The money put in and taken out |
| Before takings | Opening + put in − taken out |
| Closing count | The closing count |
| Cash taken in | Closing count − before takings: what the day's cash sales brought |
Then select Carry the closing count to the next day: the next day opens with the same count, bill by bill. This is refused when the next day already has an opening count.
The opening and closing counts are once a day: a second one is refused, so edit the first instead. Edit loads an entry into the form; Delete removes it.
Your reasons and denominations
Store > Drawer reasons and Store > Denominations are your own lists; the c-store setup starts them with the usual ones. For a reason, choose what it Does (opening count, puts money in, takes money out, closing count) and whether it Can be entered several times a day. For a denomination, enter its Value of one (20, 0.25). Clear Active or Counted to stop offering one; past entries keep it.
The cash drawer does not post to the books: cash paid out is entered as a bill or an expense, the day's sales as daily sales, and the over or short is posted by the daily close.
