Searching and Filtering Lists
Most lists in Al-Mohaseb, such as Tools > Jobs and Books > Chart of accounts, have one search box at the top. You can type plain words in it, or filter terms that say exactly what to show, such as status:completed or queued:this-quarter. This page explains how the search box works on every list.
Search a list
- Click in the search box at the top of the list. The grey hint inside it shows an example for that list.
- Type what you are looking for.
- Press Enter, or click the magnifying glass.
The list shows only the rows that match, and the number of matching items appears above the list. To see everything again, clear the search box and press Enter.
The filter is kept in the page address. You can bookmark a filtered list, or copy the address and send it to a colleague who has access to the same list.
Plain words and filter terms
A filter term is a name, a colon and a value, with no spaces around the colon: status:failed, type:expense, sort:oldest.
Text without a term name, such as rent or import, is searched in the list's default field. Each list has its own default. For example, on Books > Chart of accounts it searches the account name and number, and on Tools > Jobs it searches the job type.
You can type several terms, separated by spaces. A row must match all of them. For example, on Tools > Jobs, status:completed queued:last-month shows the jobs that completed and were queued last month.
Values are not case-sensitive: status:Completed works the same as status:completed. Values made of several words use dashes, such as needs-attention or cost-of-goods-sold.
If a list does not understand a value, it ignores that term rather than showing an error. If a result looks wrong, check the spelling of the value in Available filters.
See which terms a list understands
Click the question-mark button next to the search box to open Available filters. It shows one card per term, with its name, an example you can copy, and what it does. The icons on each card mean:
| Icon | Meaning |
|---|---|
| Check mark | Default: you can type this term's value without the term name. |
| Dash | Single value: the term takes one value. |
| Three bars | AND, OR, NOT and groups: the term accepts several values combined with these words. |
The terms differ from list to list. For example, Tools > Jobs understands status:, type:, queued: and sort:, and Books > Chart of accounts understands type:, status:, system: and sort:. See Background Jobs and Chart of accounts for the terms of those lists.
Choose dates
Lists of a date range (bills, credit sales, service tickets, other income, bank transactions, checks cashed, fuel deliveries and the fuel summary) have a Dates box. Open it and choose:
- a range: Today, Yesterday, Last 7 Days, Last 30 Days, Last 90 Days, Last 3 Months, Last 6 Months, Last 12 Months, This Week, Last Week, This Month, Last Month, This Quarter, Last Quarter, This Year or Last Year;
- Custom Range and your own first and last dates;
- On or before or On or after a date.
Then select Show.
Filter by date
Terms that filter by a date, such as queued: on Tools > Jobs, accept the values below. Dates are written year-month-day, and are read in the site's time zone.
| You type | It shows |
|---|---|
2026 | The whole year 2026. |
2026-03 | All of March 2026. |
2026-03-15 | That one day. |
2026-01..2026-03 | From the first day of January to the last day of March 2026. Both ends are included. |
2026-03.. | From March 2026 onwards. |
..2026-03 | Up to the end of March 2026. |
>2026-03 | After March 2026, starting 1 April. |
>=2026-03 | From the start of March 2026 onwards. |
<2026-03 | Before March 2026, up to 28 or 29 February. |
<=2026-03 | Up to the end of March 2026. |
today, yesterday | That day. |
this-month, last-month | The current or the previous calendar month. |
this-quarter, last-quarter | The current or the previous calendar quarter (January to March, April to June, and so on). |
this-year, last-year | The current or the previous calendar year. |
For example, queued:this-quarter or queued:2026-01..2026-03.
Use the drop-down next to the search box
Some lists have a drop-down next to the search box, such as the status on Tools > Jobs or the account type on Books > Chart of accounts. The drop-down and the search box work together:
- When you pick a value in the drop-down, the list refreshes and the matching term appears in the search box. For example, picking Needs attention on Tools > Jobs adds
status:needs-attentionto the search text, and keeps the other terms you typed. - Picking the "all" choice (such as All statuses) removes that term from the search box.
- When you type the term yourself, the drop-down shows the value you typed.
- If you change the search text and the drop-down before applying them, the typed text wins and the drop-down is ignored.
- Some values have no place in the drop-down. For example,
status:activeon Tools > Jobs combines several statuses, so the drop-down shows All statuses while the search box still filters.
Change the order
Lists that can be sorted have a sort: term. For example, on Tools > Jobs, sort:oldest lists the oldest jobs first, and on Books > Chart of accounts, sort:name orders the accounts by name. Without a sort: term, each list uses its usual order. Available filters lists the sort values of each list.
Tips
- Start with the drop-down, then look at the search box: it shows you the term the drop-down wrote, which is a quick way to learn the terms.
- Combine a date term with a status to answer questions such as "which jobs failed this month":
status:failed queued:this-month. - Words such as filter term and default term are explained in the Glossary.
