Daily Sales
Daily sales are what the register took in on a business day, by sales category: grocery, beer and wine, lottery, the deposits collected and refunded, and the sales tax collected. Saving a day posts it to the books, so the trial balance and the reports include it right away.
| Menu | Sales > Daily sales |
| Permission | View the daily sales (to see them); Enter and change the daily sales (to save them) |
| Feature | Sales & receivables |
What you see depends on your role. If the menu, a button or a setting on this page is missing, ask your administrator to give you the permission listed above or to turn on the feature. Only administrators can turn features on and change site settings.
Enter a day
- Open Sales > Daily sales. It shows today's business date; use the arrows, or pick a Business date and select Show, to go to another day.
- The page lists one row per active sales category, in the order of the entry screens. Enter each category's Amount as a positive number. Leave the categories you did not sell empty.
- Enter subtracted categories, such as Bottle Refund or payouts, as positive numbers too: they are subtracted for you.
- Enter the sales tax you collected in the Sales Tax row.
- Total entered adds the amounts as you type.
- Select Save and post.
The page confirms The sales of date were posted as JE-number and shows, for each category:
| Column | What it shows |
|---|---|
| Revenue | The part of the amount that is income of the business. It is the whole amount, unless the category has a revenue share, such as 5% for lottery sales. Subtracted categories show a negative revenue. |
| Tax at rate | The tax the category's rate gives on the amount, for taxable categories. |
Below the grid:
- Total collected is the money the register took in: every amount, with the subtracted categories subtracted and the sales tax included. It goes to Undeposited Funds until you record the bank deposit.
- Sales tax of the day is the tax entered in the Sales Tax row. When the row is empty, the page shows the tax the rates give and reminds you to enter the tax you collected: only the entered tax is posted.
- Collected for others appears when a category has a revenue share below 100%: the rest of its sales, such as the lottery's share, is owed to someone else and goes to Amounts Collected for Others.
Change or clear a day
Open the day, change the amounts and select Save and post again. The previous entry is reversed and a new one is posted, so the journal keeps both. To clear a day, empty every amount and save: the page says The sales of date were cleared.
A day in a closed period cannot be changed; the page says The date is in a closed period. Reopen the period first.
What is posted
Each day is one journal entry, dated on the business date:
| Account | Debit | Credit |
|---|---|---|
| Undeposited Funds | Total collected | |
| Each category's account (usually Sales) | Subtracted categories | The revenue of the other categories |
| Sales Tax Payable (the Sales Tax category's account) | The sales tax entered | |
| Amounts Collected for Others | The share of sales that is not revenue |
The entry is posted from the day, so it has no Reverse button in the journal: change the day instead.
| Message | What to do |
