Credit Sales and Payments
A credit sale is a sale on a customer's house account: the customer takes the goods now and pays later. A customer payment is money a customer pays toward what they owe. Customer balances shows what every customer owes, and each customer's statement lists their sales and payments with the running balance.
| Menu | Sales > Credit sales and payments; Sales > Customer balances |
| Permission | View credit sales, customer balances and other income (to see them); Enter credit sales, customer payments and other income (to record them) |
| Feature | Sales & receivables |
What you see depends on your role. If the menu, a button or a setting on this page is missing, ask your administrator to give you the permission listed above or to turn on the feature. Only administrators can turn features on and change site settings.
Record a credit sale
- Open Sales > Credit sales and payments and select New credit sale, or open the customer's statement and select New credit sale there.
- Choose the Customer. The page shows what they owe already. Add customers under Contacts > Customers.
- Enter the Date and the Amount, and optionally a Due date and a Comment.
- Leave Rung up at the register checked when the sale is part of the day's sales, which is usual in a store. Clear it for a credit sale that is not in the daily sales, such as a sale billed later; it is then counted as a sale of its own.
- Select Save and post.
The page confirms The credit sale was posted as JE-number and opens the customer's statement.
Receive a payment
- Open the customer's statement and select Receive a payment, or select New payment on Sales > Credit sales and payments.
- Check the Customer; the page shows what they owe.
- Enter the Date and the Amount, and choose how it was Paid with, such as Cash or Check.
- Select Save and post.
A payment cannot be more than the customer owes: the page says The payment is more than the customer owes. A payment cannot be on account.
See what customers owe
Sales > Customer balances lists every customer with credit sales or invoices, with what they bought on account, their payments and what they owe, largest first. Select a customer to open their statement: every sale and payment in date order, with the balance after each.
Sales > Credit sales and payments lists the sales and payments of a date range (the current month by default). Choose the Dates and optionally a Customer, and select Show.
Change or delete one
Select Edit on the list or the statement, change it and select Save and post; the previous entry is reversed and a new one posted. Select Delete to remove it; its entry is reversed. Neither is possible in a closed period.
