Vendor Payments and 1099 Totals
When you enter a bill on account, you owe the vendor until you pay it. Vendor balances shows what you owe each vendor, a vendor payment pays it down (the Windows app's My Credit Payments), and 1099 totals shows what you paid each 1099 vendor in a year.
| Menu | Purchases > Vendor balances; Reports > Taxes > 1099 totals; Purchases > 1099 boxes |
| Permission | View bills, vendor balances and 1099 totals (to see them); Enter bills and pay vendors (to pay) |
| Feature | Purchases & payables |
What you see depends on your role. If the menu, a button or a setting on this page is missing, ask your administrator to give you the permission listed above or to turn on the feature. Only administrators can turn features on and change site settings.
See what you owe
Open Purchases > Vendor balances. Each vendor you owe money to is listed with You owe, largest first. Select a vendor to see its bills and payments.
Pay a vendor
- Select Pay next to the vendor on Vendor balances, or Pay a vendor on Purchases > Bills.
- The Amount starts as what you owe; change it for a partial payment.
- Enter the Date, choose how it was Paid with and, for a check, the Check number.
- Select Save and post.
A payment cannot be more than you owe the vendor: the page says The payment is more than you owe the vendor. A payment cannot be on account. The payment is debited to Accounts Payable and credited to the payment method's account.
1099 totals
Open Reports and choose 1099 totals under Taxes. Choose the dates: the report is for the calendar year of the last day of the range. For each vendor marked Gets a 1099, it shows its masked tax ID, the form and box its payments go in, what you Paid it in the year, and whether a 1099 is Required; the last rows count the required forms of each kind.
The boxes and the amount from which each is reported are tax content for the year, on Purchases > 1099 boxes: for example 1099-NEC box 1 (nonemployee compensation) and 1099-MISC box 1 (rents) from $600 through 2025 and from $2,000 for payments made from 2026, royalties (1099-MISC box 2) from $10. Someone with the Verify the 1099 tax content permission checks them against the IRS instructions and selects Mark verified. A year without content marks nothing required.
What counts:
- bills paid in cash, by check or another method, and payments of bills on account, on the date they were paid;
- not payments by card: the card processor reports those on a 1099-K;
- not bills left on account until you pay them.
A vendor without a tax ID shows Missing: add it on the vendor before filing.
