Clients of the Firm

An accounting firm runs its own Al-Mohaseb site, and each client business gets its own site, with its own books, users and data. The Clients menu lists your clients and opens a client's books without signing in again; the firm adds to each client the services you give it, its assigned staff, its groups and your private notes.

Can't find it?

What you see depends on your role. If the menu, a button or a setting on this page is missing, ask your administrator to give you the permission listed above or to turn on the feature. Only administrators can turn features on and change site settings.

Before you start

The platform's administrator makes your firm's site a parent of client sites, on the platform's Multi-Tenancy > Tenant Hierarchy screen. Until then there is no Clients menu; your preparers, groups and services already work.

Each site has its own address: your firm at accountant.example.com, each client at cornermarket.accountant.example.com.

Set up what you describe clients with:

  • Firm > Services: what you do for clients. The setup adds Bookkeeping, Payroll, Sales tax returns, Payroll tax returns, 1099 filing and Income tax return; rename them, remove them or add your own.
  • Firm > Client groups: groups of your choice, such as Monthly bookkeeping or Downtown.
  • Settings > Firm: your EFIN, and the services of a new client, given to a client until you change its services. Your firm's name, EIN and address are under Settings > Business profile.

Your administrator can add fields to preparers, groups and services under Content Types.

See your clients

Open Clients > All clients. Each client shows its address and state, the services you give it and its groups as badges, and its assigned staff under its name. Select Open to work in the client's books: you are signed in to the client's site with the roles your access gives you. Firm details, in the client's menu, shows what the firm keeps about it.

Add a client

  1. Open Clients > All clients and select Add client.
  2. Enter the client's name and its short name, which makes its address (for example cornermarket for cornermarket.accountant.example.com).
  3. Choose what the client's site starts from: the convenience store or the service business setup.
  4. Add the client. Its site is set up in a moment; the client then shows as Ready.

Suspending, removing and giving your staff access to clients are in the client's menu and under Clients > Access.

A client's details

Select Firm details in a client's menu:

  • Services, Assigned staff and Groups: check what applies and select Save. Staff are the users of your firm's site.
  • Notes: write a note and select Add the note. Notes are private to the firm: the client never sees them. You can delete your own notes; someone who manages every client's details can delete any note.

Preparers

Firm > Preparers keeps each person who prepares and signs returns: the name as on the returns, the PTIN (the letter P and eight digits, such as P01234567), the e-mail address, their user in your site, and whether they are your electronic return originator (ERO) or sign returns with a practitioner PIN. Clear Works for the firm for someone who left.
