Payment Methods

Payment methods are the ways your business receives and pays money: Cash, Check, Visa, an electronic transfer, or On account when the amount is not paid yet. The Windows app called them payment types. Every screen that records money, such as customer payments, other income and bills, lets you choose one.

Can't find it?

What you see depends on your role. If the menu, a button or a setting on this page is missing, ask your administrator to give you the permission listed above or to turn on the feature. Only administrators can turn features on and change site settings.

A new business starts with Cash, Check, Credit card and On account. Rename them, add your own (for example one per card brand) or retire the ones you do not use.

Add a payment method

  1. Open Books > Payment methods and select New Payment method.

  2. Enter the Name.

  3. Choose the Kind:

    KindWhat it means
    CashCash.
CheckA check; checks can be printed.
    CardA credit or debit card.
On account (not paid yet)The amount is owed: by a customer on their house account, or by the business to a vendor. It is never offered for money received.
OtherAny other method, such as an electronic transfer.
  4. Optionally choose the Account the money goes through, such as a bank account. When you leave the role's default, money goes to Undeposited Funds until you deposit it, and On account amounts go to Accounts Receivable or Accounts Payable.

  5. Clear Counts in the cash reconciliation for methods that are not cash in the drawer, such as cards.

  6. Select Publish.

Clear Active to stop offering a method. Because a method's kind is part of the method itself, renaming or deleting one never breaks the screens that use it, unlike the configured "credit" and "cheque" types of the Windows app.
