Import Files

Import files brings records from another program or a spreadsheet into Al-Mohaseb: journal entries, opening balances, and more as other features add them. You give a CSV file, say which column holds what, and every row is checked before anything is imported. Rows that cannot be imported can be downloaded, corrected and imported again.

Can't find it?

What you see depends on your role. If the menu, a button or a setting on this page is missing, ask your administrator to give you the permission listed above or to turn on the feature. Only administrators can turn features on and change site settings.

Bank statements are imported from Banking, and customers and vendors from their lists.

Import a file

  1. Open Tools > Import files and choose what to import.
  2. Choose the CSV file, or paste its rows. Save a spreadsheet as CSV first; commas, semicolons and tabs all work, up to 2 MB.
  3. Leave The first row holds the column names checked when it does. If you saved a mapping before, choose it under Saved column mapping.
  4. Select Next: map the columns.
  5. For each value, choose the column of the file that holds it, or Not in the file. Al-Mohaseb guesses from the column names; check its guesses against the first rows shown below. Values marked * are required.
  6. Fill in the Date format if your dates are day first (dd/MM/yyyy). US dates (3/14/2026) and ISO dates (2026-03-14) need nothing.
  7. Select Check the rows. Every problem is listed with its row. Rows with a problem are not imported; the others are.
  8. Select Import.

To use the same mapping next time, enter a name under Save this mapping as, check Save the mapping, and check or import.

When some rows were not imported, select Download the failed rows. The file has your original rows with a Problem column; correct them, delete that column and import the file again.

Journal entries

One row per line of an entry. The rows of an entry share its Entry number; without one, rows with the same date and description are one entry.

Column
Entry numberGroups the lines of an entry.
Date *The date of the entry; every line of an entry has the same date.
Account *The account's number or name as in the chart of accounts, or both as the admin shows them ("1000 · Cash").
Debit and CreditThe amount of the line, in one of them.
AmountInstead of debit and credit: positive for a debit, negative for a credit.
DescriptionThe description of the entry.
Line memoA note on the line.

Each entry must balance and have at least two lines; an entry with a row that has a problem is left out whole. Check Post the entries to post them; otherwise they are saved as drafts to review and post from Journal entries. An entry dated in a closed period is not imported.

Opening balances

One row per account, with its balance on the day your books start, such as the trial balance your accountant gives you.

Column
Date *The same date on every row.
Account *The account's number or name.
Debit and Credit, or BalanceThe balance: a debit or a credit, or a signed balance (positive for a debit balance).

The balances are imported together or not at all: every row must be right, each account on one row, and the debits must equal the credits. The import replaces the opening balances saved before; see Opening balances.
